NeonO appointments calendar on desktop and phone: multi-staff day view with colour-coded appointments, waitlist alerts, and live revenue totals

What it does

Scheduling that models how the work actually happens: multiple chairs, shared rooms, processing gaps and walk-ins arriving mid-service.

Chair and room views

Switch between a per-stylist column view and a per-room view when the constraint is the space, not the person.

Processing-time buffers

A colour service reserves the chair for application, releases it during processing, and reclaims it for the finish.

Waitlist and gap fill

Cancellations open a slot to the waitlist automatically instead of sitting empty until someone phones.

Walk-in queue

Add someone to the queue at the desk and the board shows realistic wait times against the current book.

Rebook at checkout

The next appointment is offered while the client is still at the till, not chased by text later.

Phone-first for the floor

The same calendar on a phone, sized for one thumb between clients — not a desktop grid squeezed onto a small screen.

In detail

Chairs, rooms and resources

Book the resource that's actually scarce.

A colour bowl, a shampoo bowl, a treatment room and a barber chair are different constraints. The calendar treats them as separate resources so two bookings never collide over one room.

  • Per-stylist columns for a commission floor, per-room columns for treatment spaces
  • Resources can be shared across staff without double-booking
  • Day, three-day and week views with the same drag-to-move behaviour

Buffers and processing time

Processing time is not idle time.

Services carry their own structure: setup, active time, processing, and finish. The chair is released during processing so a second client can be seated instead of the slot being written off.

  • Per-service setup, processing and cleanup buffers
  • Double-booking allowed only inside a released processing window
  • Overrun on one appointment shifts the affected column, not the whole day

Waitlists and cancellations

An empty chair is the most expensive thing in the room.

When a cancellation lands, the slot goes to the people who already told you they wanted it, in order, with a time limit before it moves on.

  • Waitlist entries carry service, stylist preference and availability window
  • Offers expire and pass to the next person automatically
  • The desk sees who was offered what, without a paper list

Walk-ins

One queue for the whole floor.

A walk-in added at the desk gets a wait time computed against the live book, and appears on the board in the real order of service.

  • Walk-ins and booked clients share one order of service
  • Quoted waits come from the current book, not a guess
  • The floor and the front desk see the same queue

A day on the floor

One Saturday, from open to close.

Scroll through a normal day on a four-chair floor. The board fills as each thing happens — the cancellation, the colour that releases its chair, the walk-in, the gap that gets sold instead of written off.

62% of the day sold at open

Illustrative figures — not customer data.

  1. 9:00

    The book you opened with.

Three chairs and a treatment room, loaded from online bookings and rebooks taken at the till last week. Chair 3 has a hole at noon and nobody has phoned about it.

  2. 10:20

A colour books in and gives the chair back.

The service reserves Chair 1 for application, releases it through processing, then reclaims it for the finish. That released window is real bookable time — not a block of grey.

  3. 11:05

A cancellation lands and doesn't sit there.

The 12:00 on Chair 3 cancels. The slot is offered to the waitlist in order — service match, stylist preference, availability window — with a time limit before it moves on.

  4. 12:00

    The released hour gets sold.

Someone from the waitlist takes the freed noon slot, and the processing window on Chair 1 seats a quick fringe trim. Two hours of floor time that a paper book would have lost.

  5. 2:30

A walk-in joins the same queue.

Added at the desk, quoted a wait time computed against the live book — not a guess. They appear on the board in the real order of service, so the floor and the front desk agree.

  6. 5:00

Close out with the day accounted for.

Utilisation by chair and day part, the gaps that stayed unsold, and every rebook taken at checkout — all from the same schedule, no end-of-day reconciliation.

The math

What one unsold hour a day costs over a year.

Worked with round numbers so you can substitute your own: one chair, one hour of bookable time lost per working day.

Questions about appointments

Can two clients share a chair during colour processing?

Yes. A service can release its chair during processing time, which lets you seat the next client and reclaim the chair for the finish.

Does it handle rooms as well as stylists?

Yes. Rooms and equipment are bookable resources in their own right, so a treatment room can't be double-booked even when two staff are free.

How does the waitlist work when someone cancels?

The freed slot is offered to matching waitlist entries in order. Each offer has a time limit, and passes to the next person if it isn't taken.

Can walk-ins and booked appointments live on the same board?

Yes. Walk-ins join the same queue as booked clients so the board shows one real order of service and a realistic wait time.

Does it work properly on a phone?

The calendar is built mobile-first for floor use: one-thumb navigation, drag-to-move, and the same data as the desktop view.

What happens when an appointment runs over?

The overrun shifts the affected column and flags the appointments at risk, rather than silently pushing the entire day out of alignment.

Can clients book themselves?

Yes, through your own booking page. NeonO is not a marketplace: your clients book with you, and we never resell them to another business.

Does it cost extra?

No. Scheduling is included in both plans, with no per-booking fee. Payment processing is billed separately at the published per-transaction rates.
